Prairie Band Health Services is a staffing company that works in
government contracting and executive recruiting. The position is
idea for someone interested in learning about government contracts,
supporting the human resources compliance and recruitment of
candidates to be placed all over the United States. Excellent
written and verbal communication skills required to ensure
effective collaboration with internal and external customers.
Proficiency in MS Office: Word, Power Point, Outlook, Excel and
SharePoint, with the ability to multi-task. The Administrative
Coordinator will report to the Director of Recruitment and work in
partnership with the Business Development Director to help in
business analysis for Prairie Band Health Services. Organize,
develop, manage, and maintain processes that support the Business
Development pipeline and Recruitment processes. This includes
contract interpretations, job postings, candidate sourcing and
ensuring required paperwork is collected. Assist in the production
of responses to Request For Information (RFI), Past Performance
Questionnaire (PPQ), Request For Proposal (RFP) while helping the
specific proposal team to prepare and submit winning proposals.
This is a high paced role that requires an ability to work under
pressure and challenging deadlines across multiple teams within the
organization. Assist and eventually lead proposal development for
written proposals from Pre-Proposal, Post and Contract Close-out
phases. This includes supporting proposals in multiple roles,
including writing, compliance review and volume lead.
Assist/Develop schedules, outlines, compliance matrices, proposal
kick-off presentations and the administration of proposal document
templates.
Requirements:
- Follow the direction of Recruitment Director to prioritize weekly
workload. - Support the delivery of compliant, professionally
produce proposals within customer defined timeframes and
parameters. - Manage a pipeline of opportunities within the
Federal, State, Local Government. - Coordinate, review and edit
proposal input from a variety of stakeholders. - Create documents
and template management in line with company branding. - Assist
with the development of standard operating processes and procedures
for Business Development and Recruitment. - Extract and organize
relevant data from contract proposals to create job descriptions,
post jobs utilizing Paylocity and various job boards. - Maintain
systems that track relevant data on contract proposals, job
postings, candidate profiles to streamline processes for Business
Development and Recruitment. - Proactive, ongoing communicate about
time management / prioritization of duties. - Assist the project
managers in decisions, including compiling, updating, and
maintaining project schedules and budgets. SKILLS, ABILITIES,
EXPERIENCE REQUIRED:Previous experience in an administrative role
supporting project management and knowledge or interest in
learning. The position will present a training and growth
opportunity in Project Coordination, Human Resources hiring
compliance, Recruiting, Health Services Staffing and Business
Development environments. Specific capabilities associated with
Federal Contracting and Business Development are also a plus. - One
to two years of experience working in an office or in an
Administrative Assistant role is preferred. - Associate Degree or
two years of completed college coursework - Bachelor's Degree
preferred. - Familiar with project management. - Familiar with
Paylocity a plus but not required. - Experience in Recruiting a
plus but not required. - Above average internal and external
communication skills. - Proficient with SharePoint, Microsoft Suite
- including Excel. - Excellent problem-solving skills that show a
logical process to decision making. - Demonstrates a strong work
ethic and a professional attitude towards colleagues. - Excellent
English verbal and written communication skills, attentive to
details. - Highly proficient in time management, organization,
planning and prioritization. - Proven initiative, positive
attitude, and team oriented, self-motivated, and highly
enthusiastic. - Ability to manage changing priorities, meet
deadlines and adapt to a changing business environment. -

Some travel may be required to attend meetings and conferences 10%.
