Job Description:

Role Responsible for utilizing knowledge of established records and information management theory to analyze records and information management practices, processes and controls. Develop recommendations for new or improved practices, processes or strengthen controls required for the creation, use, maintenance and disposition of client and administrative records to accomplish the objectives of the Bank. Work with personnel and administration to understand their records and information management requirements. Prepare, recommend and execute plans for new or improved methods of maintaining records that ensures timely, efficient and accurate retrieval of records and information. Lead development of work practices to promote utilization of the Bank Records Management Program. This position is an in office position located in Topeka, KS. Essential Duties & Responsibilities * Supervise/manage/direct the selection, training, development appraisal and work assignments of staff. * Maintains a Central Records Operating guide, which includes a Historical Reference Guide for past procedures and report formats. * Identifies and recommends process improvements involving the records management activities of the Company. Keeps management informed of all critical issues. Review and approve additions and changes to department operating guide. Review and maintain Business Continuity Plan. * Serves as Administrator of the Company's retention storage systems, coordinates the application of retention schedules to the stored information. * Review, coordinate, and declare responses to legal requests, to include sworn affidavits and testimony. * Coordinates maintenance and recommends systems/equipment within the central records facility as required. * Coordinate off-site vendor storage and corporate information destruction. * Perform other duties as assigned. * Participate in proactive team efforts to achieve departmental and company goals. * Must comply with current applicable laws, regulations and bank policies and procedures. Comply with all safety policies, practices and procedures. Report all unsafe activities to supervisor and/or Human Resources. Requirements * Five to eight years of similar or related experience, including preparatory experience. * A college degree. CRM certification, preferred. * A significant level of trust and diplomacy is required to be an effective subject matter expert in the position. In-depth dialogues, conversations and explanations with customers, direct and indirect reports and outside vendors of a sensitive and/or highly confidential nature is a normal part of the day-to-day experience. Communications can involve motivating, influencing, educating and/or advising others on matters of significance.
